In the past decade or so we’ve moved well beyond the fax machine and room full of printers and copiers. Today, multifunction print technology has combined the most frequently used office machines into a single device. Many manufacturers produce MFPs and most are similar in terms of functionality and feature sets, and vary only slightly in price.
The difference lies in the level of support provided by the manufacturer. Support for newer technology like mobile is vital. As the world becomes more and more connected, security is also a major concern. Let’s look at the specific questions to ask when buying a new MFP to help you make the right choice.
The Basics
Security
The first question should be, “what level of security does the system come with?”
MFPs have an internal hard drive, memory, are internally networked and easily connected to the Internet. That makes your MFP a potential security risk. There are two levels of security available. The first is a single sub-system component plan that may need to be added (at an additional cost) to your lease or purchase, can be expensive and may not cover all potential areas of vulnerability. The second is full system security. This means all areas are covered and certified secure. This generally comes directly from the manufacturer and is acknowledged by a known entity like Common Criteria Certification.
Mobile Print Capability
Here, the question to ask is,”does this printer support my existing technology?” With a myriad of devices being used, is this printer going to prove a challenge to your IT staff, or does it offer “plug and play” capability? Always ask your provider if there’s an additional cost to enable mobile print!
There are several other areas to differentiate MFPs including:
- Warranty – Who provides the warranty, the manufacturer or reseller? How long does it last? 90 days? Three years?
- Type of Print Engine – Cartridge based or drum? Cartridge is often a better option requiring less service and maintenance.
- Service Credits – Who pays for the copies that your service tech makes during a visit? You’d be surprised how fast those can add up.
While all MFPs might look basically the same and perform the same tasks, the differences become apparent if you ask the right questions. Before signing any lease, or making any purchase do your due diligence. It’s a smart practice.
